Work Schedule:
- Hybrid (3 days required onsite)
- Mandatory onsite days: Monday and Thursday
- Contractor selects the 3rd workday
- 8-hour workday required
- Core hours: 9 am - 3 pm CST
- Flexible schedule outside core hours
Responsibilities:
- Independently manage and resolve documentation issues
- Ensure proper capture, cataloging, and control of project documentation using EDMS and SharePoint
- Create customer records and prepare documents for transmittal
- Maintain document numbers for clients and suppliers
- Generate various reports (Late, Status, Open Reports)
- Follow document control procedures for transmitting and receiving documents
- Generate and maintain MDR for client and project team use
- Serve as the main point of contact for project documentation and information management
- Analyze and control all technical documentation related to project activities
- Ensure compliance with contractual requirements for document numbering, filing, and confidentiality
- Handle and register all transmittals according to project procedures
- Plan and follow up on documentation in coordination with the project management team
- Participate in meetings as required
- Define the distribution matrix with the project team
- Compile and process Manufacturing Record Books (MRBs) for subcontract supplier scopes
- Submit Inspection Requests to Clients for MRB review and approval
- Upload final MRBs into SAP and SharePoint for traceability
- Train Junior Document Controllers on MRB compilation and EDMS
- Review document and transmittal quality
- Manage supplier documentation
- Collect information for reports
- Perform project closing activities according to company procedures and contractual requirements
- Suggest improvements to increase efficiency and communication
- Assist in creating, developing, and implementing department and project templates
- Create Document Control related Work Instructions and project procedures
- Train Junior Document Controllers on DC requirements and processes
- Handle confidential or sensitive information or issues
- Maintain efficient paper and electronic filing systems
- Stay informed on the latest trends and technology in Document Control
- Ensure accurate and timely communication to involved parties
- Perform other duties as assigned
Work Environment:
- Office environment, occasional safety equipment required
- Frequent travel to other offices and client locations
Physical Demands:
- Frequent sitting, computer use, and telephone use
- Ability to lift up to 25 lbs. for moving physical record boxes
- Some travel required for meetings and coordination of Document Control processes
Essential skills and knowledge
Requirements:
- Professional diploma or equivalent work experience
- 3+ years of experience in document control, minimum 2 years in an office environment
- Experience with Records/Document Management Principles, Microsoft Office, Acrobat Adobe, EDMS, SharePoint
- Intermediate knowledge of OpenText or Livelink EDMS systems preferred
- Intermediate knowledge of SAP preferred
- Broad knowledge of departmental functions and terminology
- Advanced understanding of Document Control policies and procedures
- Strong problem-solving skills
- Excellent interpersonal skills for inter-departmental and customer interaction
- Advanced verbal and written communication skills in English
- Proficient in Microsoft Office (Word, Excel, PowerPoint & Access)
- Experience mentoring junior employees
- Ability to handle multiple tasks simultaneously
- Demonstrated ability to handle confidential information
