About the Role:

Kariera Group recruitment services are actively seeking an experienced Contracts Administrator with a background in oil and gas to join our client’s head office in Woking on a 12  month contract, this is a hybrid position and will require on site presence 3 days a week .

The Contracts Administrator will be responsible for managing and administering contracts and work order creation, related to projects within the oil and gas industry, specifically in relation to MOSL, the National Oil Corporation (NOC) and its operating companies. The role requires a high level of engagement with stakeholders across both operating and service companies, ensuring that all contractual obligations are met, are commercially viable, agreed by all parties and as such facilitate smooth project execution whilst adding value.

Key Responsibilities:

  • Administer contracts related to specific projects within the oil and gas industry, ensuring compliance with terms and conditions.
  • Review, analyse, and decipher requests, conditions, and obligations from the NOC and its operating companies.
  • Ensure timely execution and amendments of work orders and contracts as required.
  • Monitor and expedite work order creation and contract performance and ensure that all parties meet their obligations.
  • Verify and agree post contract payment applications and invoices.
  • Engage with stakeholders across operating and service companies to gather relevant project information and ensure alignment with obligations and desired outcomes.
  • Facilitate and expedite meetings with project-related stakeholders to resolve issues and drive project progress.
  • Serve as a liaison between the MOSL, the project team, vendors, and contractors, ensuring clear communication and understanding of contract requirements.
  • Gather, interpret, and decant complex technical and commercial information from the NOC or its operating companies relevant to specific projects or work scopes.
  • Analyse gathered data to identify key contractual and project-related insights that inform decision-making, commercially viable solutions and project execution.
  • Work with the procurement team to estimate costs and develop cost-effective solutions for project-related needs.
  • Engage new vendors, ensuring they meet the project and contract and company requirements.
  • Oversee the vendor onboarding process, including setting up new vendors in the system, verifying compliance with company standards, and ensuring proper documentation.
  • Expedite activities related to project execution, ensuring that deadlines and milestones are met as per the contract schedule.
  • Monitor and follow up on the progress of orders, deliveries, and other project-related activities, ensuring timely completion and adherence to contract terms.
  • Proactively identify and resolve any issues that may impact project timelines or contractual obligations.
  • Ensure all contracts comply with internal policies, legal requirements, and industry standards.
  • Identify potential risks within the contract scope and develop strategies to mitigate them.
  • Maintain accurate and up-to-date records of all contract-related documents and communications.
  • Prepare regular reports on contract status, progress, and any issues that arise during the project lifecycle.
  • Maintain organized and accurate contract files, including all correspondence, amendments, and documentation.
  • Provide updates to the Contracts Manager and project teams on contract-related matters.
  • Draft, review, and negotiate work orders, contracts and agreements with clients, vendors, and subcontractors.
  • Assist in the development of contracting strategies that align with company goals and project objectives.
  • Support the tendering and bidding process, ensuring that contracts are awarded to the most suitable vendors.
  • Ensure contract closeout, extension, or renewal as appropriate, and that all contractual obligations are fulfilled.

Requirements:

  • Bachelor’s degree in business administration, Law, Engineering, or a related field.
  • Experience in contract administration within the oil and gas industry, preferably with Engineering Companies using CTRs (Cost, Time, Resources) and in an EPC (Engineering, Procurement, and Construction) environment.
  • Understanding of contract law, terms, and conditions within the oil and gas sector.
  • Excellent communication and stakeholder engagement skills.
  • Proven ability to manage multiple contracts and projects simultaneously.
  • Proficiency in contract management software and Microsoft Office Suite.
  • Strong analytical skills and attention to detail.
  • Ability to work under pressure and meet tight deadlines.
