About the Job

The receptionist cum Security Assistant is responsible for providing secretarial, clerical and administrative support in the absence of the QHSES Coordinator to ensure that services are provided in an effective and efficient manner.

• Work schedule is as follows:

 Monday to Friday 0730/0800hrs to 1830/1900hrs

• Shall conduct a detailed and proper handing / taking over procedure with the Security personnel on duty every morning and at the end of your working day. This handing / taking over procedure must be recorded in the logbook provided.

• Shall always be alert an attentive while manning the reception counter

• Must always be polite and responsive while dealing with visitors

• Adhere to the visitor management system strictly as follows:

 Confirm all visitor appointments with the relevant Technip Energies staff they wish to visit by telephone.

 Ask the visitor for an official identification document (NRIC / drivers license / Passport). Record his / her details from their any of these documents and return it to the visitor after recording details. In the case of Foreigners, record their personal details from their passport and return passport to them.

Calling cards are NOT accepted as an official identification document.

• Issue visitors with a visitor card after completing registration.

• Ensure visitors details are recorded accurately, completely and immediately in the VMS.

• If you should have any doubts or suspicions regarding any visitor, call Security immediately.

Access Card

1) All staff, clients, visitors, and contractors must wear and prominently display an official access card on their person, issued by the Company and must also produce these access cards when requested by the Security Staff.

2) The Security Dept. will conduct random checks on all staff to ensure they are in possession of their own bona fide and valid access cards.

3) Staff who fail to produce their own access card will have to register at the reception counter and he/she will be issued a temporary Staff Pass.

4) Refer to GPS-COR-13000 for more details on access card control for staff and visitors.

Management of Contractors

1) Contractor work usually includes movers, telephone maintenance, electricians, renovation works and access card system contractors and other relevant contractors.

2) The Facilities Management Dept representative and other relevant Department will inform the Security Dept. of impending internal contract works on the office premises 24 hours in advance.

3) A Permit to Work Form (PTW) must be filled in and submitted by the Department concerned to the HSE Department for approval at least 48 hours before the commencement date of work. A copy of the PTW is as shown on Appendix A.

4) The Security Dept will, at regular intervals, monitor the movements of all contractors and their work crew to ensure they confine their movement to their work area and comply with all HSE requirements.

5) Security will monitor all contract work being carried out in restricted or sensitive Dept.

6) Security Staff are to immediately stop contractors from working if they are found to be in breach of any HSE requirement.

About You

- Minimum SPM or higher

- Minimum 2 years experience

- Excellent communication, teamwork, and decision-making skills.

- Ability to work under pressure, able to handle incidents effectively, and make quick decisions.
